Privacy Information

eChart Manitoba provides access to key patient health information (PHI) to assist eChart users in providing direct patient care. eChart is a secure clinical system designed to enhance the quality, efficiency and timeliness of patient care while also protecting an individual’s privacy. As a user of eChart Manitoba, you play an important role in maintaining the privacy and security of the PHI you access in eChart Manitoba.

If you are a Privacy Officer at a site that has access to eChart Manitoba, you have a key role in helping the site maintain administrative, physical and technical safeguards to ensure patient privacy while using eChart Manitoba. In addition, you are the liaison between your site and eChart Manitoba Services regarding all privacy-related matters. You are also the individual who may either fulfill or assist your site’s patients with requests to access their personal health information from eChart Manitoba. The information on this page will be useful in fulfilling these responsibilities.

Site Requested Audits

Requesting a Privacy Audit

  • eChart Manitoba:
    Privacy Officers are encouraged to regularly request audits.
    • Record of User Activity Audits can be requested for single or multiple users for any time period.
    • Email your request to the Service Desk (servicedesk@sharedhealthmb.ca) with the subject line “Privacy Audit”.
      • Include your name, contact information (i.e. phone number) and your site in the email. DO NOT include the user’s information (i.e. name, work location) or details about the reason for the audit.
    • The Service Desk will forward your email to the queue and a Privacy Analyst will contact you to collect the details required to run the audit.
  • Shared Health:
    A site Privacy Officer or Manager can request a Record of User Activity – Privacy Audit.
    • Audit reports can be run from most electronic information systems managed or hosted by Shared Health. Audits can be requested for single or multiple users, or for a specific individual (patient-centric) for any time period.
    • Email your request to the Service Desk (servicedesk@sharedhealthmb.ca) with the subject line “Privacy Audit”.
      • Include your name, contact information (i.e. phone number) and site in the email. DO NOT include the user’s information (i.e. name, work location) or details about the reason for the audit.
    • The Service Desk will forward your email to the queue and a Privacy Analyst will contact you to collect the details required to run the audit.
